01
Who Front desk books the appointment

Book with every dentist's schedule in view

Monday morning, Mr. Mana calls with a toothache.

The front desk opens the calendar and sees at once that Dr. Nattawut is free this afternoon while the other dentist is on leave, picks the 2 pm slot, adds Mr. Mana and saves.

Booked in one call, no putting him on hold to check the diary.

  • Calendar by room or by dentist
  • Dentist shifts and leave sit on the same calendar
  • New patients: read details from the Thai ID card when a card reader is connected
02
Who Front desk checks in → the assistant in the room sees the queue

Check in, and the queue shows on the screen in the dentist's room

At 2 pm Mr. Mana walks in. The front desk taps his appointment, chooses "Check in", and sets Dr. Nattawut and Room 2.

In the treatment room, the assistant sees Mr. Mana's name appear in the queue with his arrival time.

The room is ready before he sits down, with no one walking up to the desk to ask.

  • Arrival time recorded: on time, early, late or walk-in
  • Gold Card (NHSO) patients: choose the coverage at check-in
  • Chronic conditions and drug allergies show in red on the patient profile
03
Who The dentist records treatment in the room

The dentist writes on the dental chart, like paper

Dr. Nattawut taps Mr. Mana in the queue and the dental chart opens. He examines, then writes on the tablet with a pen as he would on paper, circling the tooth for the root canal and noting the prescription.

Prefer typing? Switch modes and pick the tooth and procedure from the clinic's own list.

Everything written today stays in Mr. Mana's record, ready to open at the next visit.

  • What the dentist writes with the stylus is kept in the patient's treatment history to look back on
  • Treatment plans, drugs and supplies are on the same screen
  • Attach photos and X-rays to the patient's history
04
Who Front desk takes payment and issues the receipt

What the dentist recorded comes back to the front desk

At the front desk, Mr. Mana's name is already in the "Awaiting payment" queue with the procedure and price the dentist recorded.

Mr. Mana asks to pay by QR. The front desk picks the method and issues the receipt, with the next visit printed at the bottom.

No walking back to ask the dentist, no retyping the items.

  • Cash, transfer, card, QR, or split across methods on one receipt
  • Use a deposit the patient left, and apply a discount template
  • With DentCloud Payment, QR and card payments are linked to the receipt
05
Who Front desk / branch manager closes the day

Close the day from a report split by payment method

Six o'clock, doors closed. The front desk opens the branch report; the payment-method tab shows today's cash, transfers, QR and card totals.

Count the drawer, compare with the screen, it matches. Send the figures to the manager and head home.

No adding up receipts one by one on a calculator.

  • Treatments, receipts, outstanding balances, deposits, discounts, cancelled receipts
  • NHSO report for Gold Card patients
  • Pick any date range and export to Excel
06
Who Front desk calls to confirm the day before

The day before, confirm by phone from one list

Tuesday morning, the 14th. The front desk opens tomorrow's appointment list: 18 visits, 12 confirmed.

She calls Mr. Mana: "Tomorrow at 10, right?" He says yes, she sets the status to "Confirmed" and the count moves to 13.

Dentists and assistants see the same status on the calendar and know who's coming tomorrow.

  • Filter by date, dentist, room and status
  • Confirmed, rescheduled or cancelled: everyone sees the same status on the calendar
  • Paid plans: LINE reminders let patients confirm by themselves
07
Who Clinic owner totals DF · dentists see their own income

See each dentist's fees from the receipts already issued

Month end. The owner opens the dentist income report. Dr. Nattawut's DF is totalled from every receipt this month at the rate set once at the start, Mr. Mana's root canal included.

The payout figure is there before the transfer.

Dr. Nattawut can open his own income too, without waiting to ask the owner.

  • DF as a percentage or a fixed amount, including ortho packages
  • Record lab costs split between dentist and clinic
  • Correct DF later with an edit history; dentists can view their own income
